People and setup links

Add your team in the web app, choose each person's level and buildings, and give them a one-time setup link so they choose their own password. Deactivate people who leave.

Top-level managers (other managers can look)3 min read
On this page

Everyone who signs in to Operacora is listed in Settings › People in the web app. Top-level managers add and change people. Other managers can see the list, with email addresses and phone numbers partly hidden. Workers don't see it.

What the list shows#

  • Name, level (with your own names for the levels, see Roles) and home buildings.
  • Signs in with: their email address and/or phone number.
  • Status: Active (has a password), Invited (still has to open their setup link; the list says until when the link works) or Deactivated.
  • Last sign-in, and whether they agreed to your location notice (only when location is on).

Search by name, email or phone, and filter by level, building and status.

Add a person#

  1. Press Add a person.
  2. Type their name and an email address, a phone number, or both. They sign in with it. Phone numbers are saved with their country code; a 10-digit number is read as a US or Canadian number (+1).
  3. Choose their level, and optionally their home buildings and language (English or Spanish).
  4. For a worker you can also make them a building's worker, if that building doesn't have one yet (see Job order and building workers).
  5. Press Add and make a setup link.

If the email or phone already belongs to an account, Operacora says "That email is already used". It never says where.

Nobody sets or sees another person's password, not even a top-level manager. Instead, adding a person gives you a setup link, a QR code of that link, and an 8-character setup code:

  • Copy link and send it yourself by text or email, or let them scan the QR code from your screen. Operacora doesn't send it for you.
  • In the phone app, they can tap New here? Use a setup link or code on the sign-in screen and paste the link, or type the code together with the email or phone you used for them.
  • They choose their own password (at least 10 characters, not a common one, not their name, email or phone) and are signed in.

A link works once and ends after 7 days. Making a new link stops the old one. The link and code are shown only once; only a scrambled fingerprint of them is stored. If a link was lost or ran out, press New setup link on their row. Too many wrong tries with a link or code are blocked for 15 minutes.

Change someone#

Press Edit to change a name, email, phone, level, buildings or language. A new level applies straight away, also on devices where they are signed in.

Rules the server always checks:

  • Nobody can give someone a level above their own.
  • Nobody can lower their own level, deactivate themselves or reset their own sign-in.
  • There is always at least one active top-level person. Make someone else top-level first.

Reset sign-in#

Reset sign-in is for a forgotten or shared password: their password stops working, they are signed out on every device, and you get a new setup link for them.

Deactivate and reactivate#

People are never deleted, so your history keeps their names. Deactivate instead:

  • They are signed out everywhere at once and can't sign in.
  • Their jobs stay assigned to them. The confirmation lists their open jobs with links, so you can reassign them in Workers' Jobs. If they are a building's worker, it says so: choose someone else in Settings › Job order.
  • Reactivate lets them sign in again with their old password.

Recent changes#

At the bottom of the page, top-level managers see every change to people, roles, buildings and the organization's basics: who did it and when. The record can't be edited or deleted, and never holds a password or setup link.
