Getting started#

Is Operacora only for schools?#

No. It started with a school's maintenance team, but it works for any organization that looks after buildings or sends people out to do work: property managers, facilities teams, trades and crews. You choose your own words for places and people.

How do I get an account?#

Your organization's manager adds you with your email address or phone number and gives you a one-time setup link or code. Open the link (or, in the phone app, tap New here? Use a setup link or code) and choose your own password. See People and setup links. While Operacora is in early access, new organizations are set up with us: write to hello@operacora.com.

Is there an iPhone app?#

It is Coming. Until then, iPhone users can add the web app to their home screen. See Install the apps.

Why is the Android app a download and not on Google Play?#

Google Play is Coming. Until then, the app is downloaded directly from operacora.com/download, which takes a minute and is explained step by step.

How do I update the app?#

You usually don't have to: small updates arrive by themselves, and when a new version of the whole app is out, the phone app shows Update available with an Update now button. See Keeping Operacora up to date.

Jobs#

Why can't a job be completed without a photo?#

The photo is the proof. Managers see the result next to the original request, so nobody has to walk over to check, and a job can be sent back if it isn't right.

Two people reported the same problem. Why are there two jobs?#

Operacora never merges requests on its own, because two similar messages are sometimes two different problems. A manager can delete the extra one.

How do I give a job to a different worker?#

Press Unassign on the job, then assign the new person. A job is with one worker at a time. See Change who is doing it.

A finished job wasn't done right. What now?#

Open it in Completed Jobs and press Reopen. It goes back to the Main Inbox, unassigned, and the earlier completion stays on record.

Can I get a job back from Trash?#

Yes, press Restore. It returns to the Main Inbox. Only Delete forever removes it for good, after two confirmations.

Can people text or email in a request?#

That is Coming. Today, requests come from the phone app's Report a problem.

Do workers get a notification when they are assigned?#

Push notifications are Coming. Today the job appears in the worker's My Jobs when the app refreshes (pull down on the list).

Time and location#

Does Operacora track my location?#

Only if your organization turns it on, only during work, and only after you accept its notice. Depending on your organization, that means while you are clocked in, or while you are on its grounds during work hours. It shares which building or outdoor area you are in, and the room only when you scan its code. Exact GPS positions are not stored and nothing is shared outside work. See Your location.

I forgot to clock out. What do I do?#

Open My hours, find the shift, tap Request a fix, set the right end time and say what happened. A manager above you approves it. See My hours.

Can a manager change my hours without telling me?#

Every change needs a reason and is recorded with who made it and when, and the record can't be edited or deleted. Changed shifts show as Corrected in your hours.

Money and accounts#

How much does it cost?#

We are in early access and setting prices with our first organizations. Get in touch at hello@operacora.com.

Why do I need my own keys for maps, AI or texting?#

So those providers bill you directly at their own prices, with no markup, and so the accounts (and, for texting, the registration) are in your organization's name. Many have free plans. See Connections.

Can I use my Claude.ai or ChatGPT subscription for AI?#

No. Those subscriptions can't be used by other apps. AI connections need an API key from the provider's developer console.

Trouble#

The phone app says "Saved. Sending when online."#

You have no signal. Your work is safe on the phone and is sent automatically when you are back online.

It says "This job was changed by someone else."#

A manager changed the job while you had it open. The app shows the latest version; check it and try again.

My calendar app doesn't show the latest changes.#

Calendar apps check subscription links on their own schedule, often every few hours. Apple Calendar on a Mac can be set to refresh every hour. See Calendar subscriptions.

Search in these docs doesn't find what I need.#
