On site during work hours
The location mode that needs no clock-in: location is recorded only inside your work hours and inside your site areas. How to set work hours, site areas, the time zone, and on-site job photos.
In this mode people do not clock in. Their phone's location is recorded only when both are true: it is inside your organization's work hours, and they are inside one of your site areas. Outside either, the phone does not even send its location, and the server refuses and never stores one that arrives anyway. Everything else (the notice people agree to, what is stored, who sees it) is as described in Location settings.
Work hours#
Under Work hours, give each weekday one or more time ranges (up to four), then press Save work hours.
- Times are in your organization's time zone, as people see them on the wall clock, including the days the clocks change.
- A range runs from its start up to, but not including, its end: 08:00 to 16:00 stops at 16:00.
- A range whose end is earlier than its start runs overnight: Friday 22:00 to 06:00 ends on Saturday at 06:00.
- A day with no ranges has no work hours. With no hours at all, nothing is recorded.
Site areas#
A site area is where "on site" is. Draw them on the Grounds map: draw an area and choose the kind Site boundary (on site). An outline around each building with a margin of a few meters works well, or one outline around the whole grounds.
The box Each building's area also counts as on site adds the circles you set under Building areas. Turn it off to use only the drawn site areas. With no site areas at all, nothing is recorded.
Time zone#
Under Time zone, choose your organization's time zone (for example America/New_York) and press Save time zone. Work hours, timesheet days and weeks are all cut in this time zone. Changing it moves no stored time.
Battery and accuracy#
The phone uses low-power location updates (about every five minutes, or after moving about 50 meters), not constant GPS. It checks each reading against your work hours and site areas before sending anything. Indoors, phone location tells the building, not the room: the room comes from jobs and from room codes people scan.
Job photos taken on site#
Turn on Job photos must be taken on site with the camera to require that workers' photos for jobs are taken on site, while doing the job. It works in any location mode, even Off, because it needs only one location reading at the moment of the photo, not tracking.
- On the phone, job photos come only from the camera; the photo library is not offered.
- At the moment of the photo the phone takes one precise location reading. Outside your site areas, the person sees "Out of bounds" and the photo is not kept. Without location permission, no job photo is possible.
- The server checks again when the photo is uploaded: inside a site area, accurate to 100 meters or better, not reported as a fake ("mocked") location, and taken within the last 15 minutes. A photo saved while the phone was offline is accepted later (up to 72 hours) only if it was taken inside your work hours, and never if it was taken before the job existed.
- On the job page, checked photos show Taken on site with the time. Photos a manager adds from a computer are allowed and labelled Added from a computer, not taken on site. Workers can't add job photos from the web.
- Photos attached to "Report a problem" are not job photos and are not checked.
Honest limits: this makes reusing old photos or photos taken at home hard, not impossible. A phone that has been rooted or modified can fake its location in ways the app cannot always see. The mocked-location check and the server's own check catch the common ways.
